What are Custom fields?
Custom Fields are additional information fields created by administrators to capture data specific to business requirements. These fields store information in a key-value format and can be used to record user- or transaction-specific details.
How to Create Custom Fields for Deals in RIVO:
RIVO allows the admins (corporations and Banks) to add Customized fields for each product that can be used at the time of processing any business deals.
To navigate to the Custom Fields section, go to the Menu Panel, select Administrator, then under Application Settings, click My Custom Fields (Menu Panel → Administrator → Application Settings → My Custom Fields → Deals).
The Deals page under Customer Fields allows filtering based on Product and Transaction Type for Corporates.
The Custom field section part contains the below list of fields to be used,
- Position- The column displays the order of the customized field, and you can adjust its position by clicking and dragging to set the desired order.
- Product - The list of products available in RIVO [Export LC, Import LC, Incoming and Outgoing Guarantees, Standby LC and Export and Import collections]
- Transaction Type - Choose the applicable transaction types under the selected product where this custom field can be used. Available options may include Issuance, Amendment, Document Presentation, Document Acceptance, Claim, Settlement, and others based on the product.
- Filter – Use the Filter option to refine the list of available custom fields displayed on the page. Fields can be filtered by Field Type (Checkbox, Date, Number, Radio Button, Select, or Text Field), Privacy (All Deal Participants, Organization & Customer, Organization & My Bank, or Organization Only), and Status (Enabled or Disabled) to quickly locate the required custom field.
- The screen includes a search field that allows users to quickly locate records using specific field values or criteria.
- Add New – To create a new custom field, click Add New and enter the required details. (Existing custom fields can be edited or deleted directly from the Custom Fields main page.)
- Once Add New is selected, complete the following fields to create the custom field:
- Field Label – The name of the custom field that will be displayed and used during deal processing.
- Choose Product – Select the product from the available dropdown list to which the custom field should apply.
- Transaction Step – Select the relevant transaction type for the chosen product. The available options may vary depending on the selected product.
- Field Type – Defines the type of data that can be stored in the field, such as Text, Number, Date, Checkbox, Radio Button, or Select. For Radio Button and Select types, an additional section will appear to define the list of available options. Each value entered must be confirmed to create it as a tag.
- Max Length – Specifies the maximum number of characters allowed for Text and Number field types.
- Visibility and Attributes – Determines who can view the custom field:
- All Deal Participants – Visible to all parties involved in the deal.
- Organization Only – Visible only to users within the organization that created the field.
- Organization and My Banks – Visible to the creating organization and its associated banks.
- Mandatory Field – Indicates whether completion of the field is required (Yes) or optional (No).
- Tooltip Hint – Provides additional guidance to help users understand the purpose of the field.
- Help Text / Field Description – Displays descriptive information about the field and its intended use.
- Status – Indicates whether the custom field is Enabled or Disabled. Only enabled fields are available for use in business transactions. The current status can be viewed from the main Custom Fields page.
- Once a custom field is in use, its assigned transaction type cannot be modified.
- Customized Field is displayed on a separate page or tab during deal processing and are shown based on the selected product and transaction type.
- When the value entered in a custom field meets the defined validation criteria, the field name is highlighted in green.
- In the RIVO Bank Profile, custom fields shared by a corporate user cannot be edited by the bank. They can only be viewed when the visibility is set to Organization and My Banks or All Deal Participants.
- Values entered in custom fields are recorded in the Audit Log along with the corresponding field details.
- Existing custom fields that were created before the introduction of transaction type (before version 4.6) are assigned to the Issuance transaction type by default.
- For deals that are already in progress, newly added custom fields become available when the deal is opened in edit mode.
The Custom Field Details screen, shown below, allows users to enter and manage the required information for the selected custom field.
Note: Delete – Administrators can delete a custom field provided it is not being used in any existing business transactions.
