Effective task management is pivotal to ensuring streamlined operations and successful outcomes in today's fast-paced business landscape. Introducing a robust task management system within RIVO, we empower organizations to optimize their workflows, enhance collaboration, and achieve higher levels of productivity.
The RIVO task management engine paves the way for automation by enabling the efficient processing of tasks. By automating tasks, operations are kept effective and time-sensitive while simultaneously reducing administrative hassles.
Administrators would be able to configure task types and associated parameters such as Reminders, Memos, Assignments, Dunning stages, Payment, and so on.
User-Friendly Task Creation:
Users can easily create and assign tasks within RIVO. Each task includes essential details like a title, description, priority level, due date, and assigned team member(s).
- Task Title: Summary of the Task
- Status: Reflect on the current state of the task. The status can be Not Started, On Hold, In Progress, Completed, or Canceled
- Priority: Reflect on the importance level of the task. The priority can be Low, Medium, or High.
- Due Date: The tentative due date for task completion.
- Assign to Unit: The user can assign the task to the Specific unit of his organization
- Assignee: The user who is responsible for completing the task (display the avatar + full name of the user).
- Description: Description of the task.
- Attachments: Allow users to attach relevant files or documents to the task.
Interactive Task Dashboard:
RIVO provides a user-friendly dashboard or task list view that displays all tasks, sorted by priority and due date, enabling users to prioritize effectively. Task progress is easily tracked with status indicators such as "Not Started," "In Progress," "On Hold,", "Completed," and Cancelled, offering a comprehensive view of ongoing activities.
Task Card Information
Each task in the dashboard will be represented as a "task card" and will display important information about the task, including the task title, priority, created date and time, assignee, due date (if applicable), and attachments associated with the task (if any).
Linking Deals in the Task:
Linking a task to a specific deal or to multiple deals allows you to quickly track and manage tasks related to specific trade transactions. Users can look up a particular transaction using its reference numbers and then link a task to it. The system will show a list of matching results based on the search query, allowing users to choose the relevant deal(s) from the list.
Linking a task in a deal:
Once a task has been created, within the task management system, users can connect the task to a deal. This feature facilitates the linking of a deal to a task, enabling easy tracking and editing of tasks directly from within a deal.
Removing Linked Deals:
From the Task Details page, users should have the ability to modify the list of linked deals.
Task Modification:
Users can modify the details of a task from the Task Details (Edit button). Both administrators and the assignee can update the status of a task. All users can update other details.
Email Notification:
The user can set the email notification for himself if he is assigned a task. He can also activate the task reminder email if he chooses to get the email notification 7 days before the expiration date.
The task's filtering and archiving :
The user can have the option to filter the task since at some point in time, there will be a load of tasks, making it difficult to find the particular activity.
You can archive the task if it is not needed, and there is a chance to see the archived task.
If the user would like to restore the archived task, Select the task, Click the context menu and click restore.
Note:
- All users can create, assign, and update the details of a task.
- Only the organization admin and the assignee can change the status of a task.
- Users can see all tasks related to the organization.
- The history of the task can be viewed inside the task
How to Delete a Task:
Rivo allows users to delete tasks if needed. Users can delete the task by clicking the context menu and then hitting the delete option to remove the task completely.
